Teams: Scheduling synchronous class meetings
Select an option and follow the steps below to schedule synchronous Meetings in Teams
- Option 1: Schedule a Meeting with 1 Team
- Option 2: Schedule a Meeting with Multiple Teams using Outlook
- Option 3: Schedule a Meeting with Multiple Teams using a Channel Announcement
Option 1:
Schedule the Meeting in a Channel (Option 1 teachers with 1 cohort of all student)
- In Teams, go to the Calendar tab
- Click on a time slot where you would like to schedule a meeting.
- Fill in your Meeting Details. *required field
- Title*
- Attendees
- Date & Time*
- Recurring?
- Channel*
- Location
- Notes/Description
- Click Send
Option 2:
Schedule a Teams Meeting in Outlook (Option 2 teachers with multiple sections per course)
- In Outlook, go to your Calendar. NOTE: Screen shots are from Outlook on your Desktop, in Outlook online, expect a different view.

- Click on a time slot where you would like to schedule a meeting.
- Click Join Teams Meeting button on the top menu
- Fill in your Meeting Details. *required field
- Title*
- Date & Time*
- Recurring?
- Channel*
- Location
- Notes/Description
- Required (attendees/Teams) Click on Required button to go to search.
- Search for your Teams Classes (groups)
- Change Address book to All Groups
- Enter the name of your course/Team in the Search bar
- Select your Teams from the results
- Click on the Required button on the bottom of the search window to add to the recipient list
- Click Ok
- Click Send
Tip for Teachers:
Your Calendar in Outlook and Teams is probably going to look a little intense. In Outlook, use the Categorize button on the top ribbon to color-code and keep your meetings organized.
What Students see when Teams Meetings are schedule in Classes
(Sessions populate in their calendar view and the Join button automatically appears when it is time for the meeting to begin)
Option 3:
Schedule a Teams Meeting in Outlook (Option 2 teachers with multiple sections per course) NOTE: In this option students will NOT see the meeting posted in their calendar, they will have to Join from the link inside the Team Channel where it is shared.
- In Teams, go to the Calendar tab
- Click on a time slot where you would like to schedule a meeting.
- Fill in your Meeting Details. *required field. (Do not add your meeting to a channel or Team)
- Click Send.
- After saving, click on the meeting in your Calendar to see the meeting details.
- Highlight and Copy the Meeting Join link from the meeting description
- Click Close and go to a Channel in one of your Teams.
- In the channel, Create an Announcement post.
- Select all Teams channels you would like to share the Meeting to.
- Add the meeting details to your post and paste the Join Teams Meeting link into the top of the announcement.
- Send your Announcement.
What Students see when Teams Meetings are posted in an Announcement.
(Post will appear in every channel shared to. Share to ALL channels if help to make sure students see and join the meeting.)
